Secure Folders

    Security has been designed to manage access to client information. Implementation of the Security feature in your practice is optional. You can create secure folders that cannot be accessed without a password. You can also restrict access to other areas of the program.
Setting up Security

  1. Security can be set up during the initial install of the TaxWorks program, during the Initial Configuration Wizard. It can also be set up by clicking on the Workbench menu and selecting Security (figure 1).

On the Password tab check the Enable Security box, enter a Master Password that consists of 6-20 characters, and then repeat the password to verify that it's entered correctly (please note that the password is case-sensitive). Then select a question from the drop down menu, or enter one of your own, and type the answer. This question allows you to access the program if the Master Password is forgotten (figure 2).

  5. On the Protect tab you will see different areas of the program that can be set to require the Master Password upon entry. Tag the items that you would like to password protect and click OK (figure 3).

  7. On the Login tab you can require users to login when you start the program by checking the Require Users to Login upon Startup box. You can add/delete users/passwords with the Add User/Delete User buttons. You can also limit access of certain paths and/or folders within the program of certain users in your office. Do this by marking the Limited box and selecting what path and/or folder you want them to have access to (figure 4).
    • Note: By setting up logins that require passwords, the user-specific settings are able to move from computer to computer with that particular user.

    • Limited users only have access to the Common Forms tab in the Form Selection pane, and can only use the Clients, Assets, Fed, and State buttons located on the button bar. Certain menus will vary as shown in figures 5 through 10 for full access and limited access users.

  8. On the Preferences tab you will have the ability to require a SSN/EIN entry to open a client file and/or to view clients in Management (figure 11).

Forgotten Password

  1. If you find that you have forgotten your password, click on the I Forgot button. Note that if you are at the initial login screen when opening TaxWorks you will need to make sure you select Master Password and then click on the I Forgot button (figure 12).

  3. You will then be asked the question that you selected when you set up Security. Type the answer in the field provided. You will then be required to enter a new Master Password, this password must consist of 6-20 characters and is case-sensitive. Re-enter the password to ensure that you entered it correctly and click OK (figure 13).

  5. You will then receive a message stating that the Master Password was changed (figure 14). If you cannot remember the aswer to the question, click 'I Forgot' again (figure 15).

  7. You will then need to call Technical Support at 1-800-843-1139 to get a 'Change Password Keycode' to reset the master password. In order to have your password reset your name must be on the account and you must verify some information (figure 16).

Secure Folders

  1. To set up secure folders open the client selection screen and select New Folder under the Edit menu, or click Alt+L. Type in a name for the folder and enter in the password you want for the folder (figure 17).

  3. Now when opening the secure folder you will be prompted to type in the password. You may also select to Reset the password from this prompt window (figure 18).
    • Note: Once you have typed in the password for the secure folder, you will not be prompted for it again until you have completely closed out of TaxWorks.

  4. When selecting to reset the password, you will first be prompted for the Master Password. Enter the Master Password and click OK (figure 19).

  6. You will then be able to set up a new password for the folder. Enter the new password in the space provided and click OK (figure 20).
