Conversions 2008
TaxWorks conversion is a tool used to transfer client data from other tax preparation programs into TaxWorks. This can be useful because it saves many hours of "busy work" entering general information into a client's return. It's important to remember that the conversion tool is not designed to transfer every piece of information from the previous software into TaxWorks. Rather, it is designed to transfer the bulk of the data in a return without data entry. The converted data can be used to create proformas or organizers. PLEASE MAKE SURE TO CHECK THE CONVERTED INFORMATION.
Installation
The TaxWorks conversion utility should be available with any version of the TaxWorks 2007, 1040Works 2007 or the Demo (Complimentary Copy) 2007.
You MUST Upgrade all systems before converting clients. There are always new features, products and fixes that have been made.
Conversion Utility
- The conversion utility can be run from the File Menu. While in TaxWorks, click on File then Convert Clients near the bottom(figure 1).

- TaxWorks will close and the conversion utility appears (figure 2).

Refer to figure 2 above for items a through e.
- The Convert From area lists the product software available to convert and the path where data is located. Click the Browse... button to locate custom data paths.
- The Convert To area matches the path and folder within TaxWorks. Choose which path and folder you would like the converted clients to go to.
Note: You can create a new folder in TaxWorks by clicking on the Edit menu from Client Selection and choosing the New Folder option.
- Choose the type of system you wish to convert. The client list will only show the type of returns you have selected.
- The filter option adds the ability to convert clients that have failed or are not completed.
- The Client List is populated when client data is found. The Tag button is used to select all clients. The Refresh button rebuilds the client list based on the data path above. Once you have clients tagged, click the Convert button to start the conversion process. The Close button will close the utility.
Results
- The Results feature allows for detail reporting of the conversions, simply click on the Results tab. This detailed report can be created to contain all conversion batches (by clicking on the tag button) or select a single batch to see the details of that conversion. The batches are listed by date and time. Notice the number of Successful conversions, Warnings and Failures (figure 3).
Note: Warning status does not mean that the conversion did not take place, the warning shows any conversion operation that was different than the original. Create a report and note the differences.

- Reports can be generated as PDF (Portable Document File), XLS ( MS Office Excel Spreadsheet), RTF (Rich Text Document), or TXT (Text Document). You are able to choose which format to use in the "Create Report As:" drop down window (figure 4).

Internet Backbone
TaxWorks conversions require the Internet in order to convert tax data. We strongly recommend broadband speeds in order to convert data at a faster speed. Dial-Up dramatically increases the time to convert clients and is not recommended. If you are on a Dial-Up Internet connection, we recommend that you send us your data for conversion. We can walk you through the process of backing up your data to CD or other media by contacting Technical Support at 800-843-1139.
Troubleshooting
- Data Location - Grid doesn't show any clients when selecting product and data path and may revert to the default data path if there are no clients found.
Most of the time when data is not populating in the grid the problem is the actual path where data is located. If you are on a network, you may want to be sure to locate the data path and browse to it in the conversion utility.

If the site comes up and there are links, then you should be able to convert. However, if you cannot see the site, or it displays any errors then it is being restricted.
- Firewalls - Firewalls may need to be configured to allow for the conversion.
- Proxy Servers - Proxy servers may or may not work with the conversion. If possible, bypass the proxy server and connect directly to the Internet.
