    This feature is designed like a paper scheduler for setting your appointments. The MS-Windows style makes learning easy for first-time users. To open the Scheduler, within TaxWorks click on the File menu and select Scheduler (figure 1).

Creating New Appointments:

  1. Enter a new appointment by right clicking on a date in the calendar and selecting Add Appointment (figure 2).

  3. The Appointment window will then open up, fill out the information and click Save and Close (figure 3).

Appointments for Existing Clients:

  1. Click on Client List (figure 13).

  3. Select the System, Path, and Folder where the client is located (figure 14).

  4. To create the appointment, click on and drag the client's name to the desired date. This will open the appointment input screen. You can then input the appointment details. This will link a client's information with the appointment so you will be able to bring up the client's contact information and open the client's return from the scheduler (figure 15).

Print Options:

  1. To print the monthly appointment schedule, click on the File menu, select Print, and then click on Reports (figure 16).

  3. A new window will appear. Select Monthly Style (figure 17).

  5. To print the weekly appointment schedule, click on the Weekly Style option (figure 18).

  7. To print the daily appointment schedule, click on the Daily Style option (figure 19).

  9. To print Reminder Letters, select File, print, reminder letters (figure 20).

  11. Select the Letter and Date Range, then click Build (figure 21).
    • Note: You also have the option to edit the letter similar to the custom letters in TaxWorks

Exporting Appointments:

  1. Click on the File menu and click on Export (figure 22).

  3. A new window will appear. Browse to where you would like to save the file, enter in a file name and click Save (figure 23).

  5. This is basically a backup of your Scheduler database with all your appointments.

Calendar Viewing Options:

  1. Above the Calendar are several options to customize your calendar view (Month View, Day View, Week View, and Search results). In addition, there is one option in the upper left-hand corner, which will perform the day function (figure 24).

Calendar Customization:

  1. To customize the look of the Scheduler, click on the Tools menu and select Settings. Choose the image of your choice. Click Next (figure 25).

  3. Select the background setting and click Done (figure 26).

Task Pad:

  1. This option is similar to a checklist. It allows you to list your daily tasks.
  2. Click on the Task Pad button to the left of the calendar. To add a task, type it in the box and click the + button (figure 27).

  4. To delete a task, tag the task(s) by clicking on the box next to each task. Then click on the Delete selected tasks link in the lower left-hand corner of the Task window (figure 28).

Auto Scheduling Wizard:

  1. Click on the Tools menu, and select the Auto-Scheduling Wizard (figure 29). This will pull up the Auto-Schedule window (figure 30). This process will pull the appointment date and time from the prior year TaxWorks program.

  3. You will receive a message asking if you would like to export your appointments before continuing. If you wish to export them, click Yes, if you wish to proceed without an export, click No (figure 31).

  5. It will scan the system for current appointments and bring them forward into 2008.
  6. Once it is complete, click on the Done link (figure 32).

Clear All Appointments:

  1. Click on the File menu and select Clear All Appointments (figure 33).

  3. You will be prompted with a message that says, "Are you sure you want to remove all appointments?" Click Yes to continue, or No to cancel (figure 34).

Reminder Buttons:

Refer to figure 35 above for items a through d.

  1. Dismiss All – This option will delete all the reminders for the clients listed in the window.
  2. Open Item – Click this to open the item and change the date and time.
  3. Dismiss – This will delete the reminder for this client.
  4. Snooze – This will remind you again in the number of minutes specified. Click on the drop down box to change the snooze time.
